Heart and Vascular Partners is Hiring a Senior Payroll Specialist Near Deerfield, IL

Heart & Vascular Partners (HVP) is a management services organization dedicated to partnering with, and supporting, cardiology and vascular practices across the U.S. HVP is seeking a hard-working, team-oriented individual to join our team and serve as the Senior Payroll Specialist for our practices. This is a fast-paced and dynamic position that involves a high level of cross-functional interaction with the entire team.

Essential Functions of the Role:

  • Process data entry for multi-company payroll under strict deadlines while ensuring all entries and system outputs adhere to all state and federal laws. 
  • Process bi-weekly multi-state payrolls for 600 employees
  • Process state and local agency registrations
  • Partner with ADP Workforce Now to ensure timely state filings.
  • Process withholdings such as 401K and other welfare deductions while adhering to all state and federal guidelines.
  • Work with HR team to aggregate employee data relating to new hires, terminations, and bonus payments, garnishments, and wage assignments during each pay period in order to accurately process payroll on a bi-weekly basis.
  • Assist employees with online changes and questions regarding taxes, deductions and direct deposits.
  • Reconcile 401K contributions and fund employee’s accounts. 
  • Reconcile healthcare deductions to monthly invoices.
  • Assist with monthly and annual audits as needed.
  • Provide monthly reporting to Finance and HR teams. 
  • Assists in troubleshooting system related issues and determining appropriate corrective action. 
  • Utilizes the tools provided to maximum efficiency and reduce errors. 
  • Assist in computing quarterly bonuses and ensure they are processed in a timely manner.
  • Partner with our accounting team to assist with reconciliations, audits and other processes as able.

Minimum Qualifications:

  • Experience with processing multi-state payrolls, strong knowledge of payroll laws and regulatory guidelines
  • Attends to detail, is well organized and can effectively prioritize tasks.
  • Demonstrates an ability to manage a set workflow to maximize efficiency.
  • Demonstrates high level integrity in all activities; does not cut corners to achieve goals and always does the right thing- even when no one is watching. 

Desired Qualifications

  • Bachelor’s degree in business administration, Accounting and/or upholds a payroll certification from a nationally certified governing body. 
  • 5 years of payroll experience with teams of 500 or more
  • Preferred knowledge of ADP Workforce Now and proficient at using Microsoft Office 365 to include Word and Excel

Physical Requirements

This position requires full range of body motion. While performing the duties of this job, the employee is regularly required to sit, walk and stand; talk or hear, both in person and by telephone; use hands repetitively to handle or operate standard office equipment; reach with hands and arms; and lift up to 25 pounds. 

Work Environment

This position is a hybrid position and requires that the Senior Payroll Specialist reports to the corporate office in Deerfield, IL approximately 2-3 days a week.
